Privacy Policy

This Privacy Policy explains how KZ Crafty Printing Services processes personal information through KZ Unified Inbox, our websites, and supported customer-messaging integrations.

1. Information we may process

Depending on the channel used and the service enabled, we may process:

• Business and staff account information: name, email address, account role, authentication records, and account status.
• Customer conversation information: message text, conversation records, timestamps, channel information, and customer display information when available.
• Meta Platform Data: Facebook Page or account identifiers, platform-scoped customer identifiers, message identifiers, message text, timestamps, and related messaging metadata required to receive, organize, and reply to customer messages.
• Website chat information: chat name, session identifier, messages, and timestamps.
• Technical and security information: IP-derived security identifiers, request timestamps, rate-limit records, audit records, and webhook/API processing logs.

2. How we use information

We use information only as reasonably necessary to operate and secure KZ Unified Inbox, including to:

• receive, organize, display, and manage customer conversations;
• send replies requested by authorized staff through the relevant communication channel;
• authenticate users and administer staff access;
• protect the service against abuse, unauthorized access, fraud, and technical failures;
• troubleshoot errors and maintain service reliability; and
• comply with applicable legal, accounting, security, and regulatory obligations.

3. Meta Platform Data

When an authorized Facebook Page connection is used with KZ Unified Inbox, Meta may send messaging data needed to provide the service. We use that Platform Data to display customer conversations to authorized staff and to send staff-requested replies back through Meta's messaging APIs.

We do not sell Meta Platform Data. We do not use private customer message content to build unrelated advertising profiles. Meta Platform Data is used only for the connected messaging functionality, security, troubleshooting, and lawful recordkeeping where applicable.

4. Business clients and authorized users

A business using KZ Unified Inbox is responsible for ensuring that it has authority to connect the relevant business Page or communication channel and to permit its staff to access customer communications. Staff access should be limited to people who require that access for legitimate business purposes.

5. Sharing of information

We may share or transmit information only where necessary to operate the service, including with:

• authorized staff of the relevant business;
• hosting, infrastructure, and security providers used to operate the service;
• connected communication platforms, such as Meta, when necessary to receive or send messages; and
• government or legal authorities when required by applicable law or valid legal process.

We do not sell or rent personal information.

6. Data retention

We retain personal information only for as long as reasonably necessary for the messaging service, customer support, security, troubleshooting, dispute resolution, and applicable legal or accounting requirements. When information is no longer needed, it may be deleted, anonymized, or securely archived where retention is legally required.

7. Security

KZ Unified Inbox uses administrative and technical safeguards designed to protect information. The application includes individual staff accounts, password hashing, CSRF protection, rate limiting, audit logging, restrictive browser security headers, verified Meta webhook signatures, and server-side handling of integration credentials. No internet-connected service can guarantee absolute security.

8. Privacy rights and requests

Subject to applicable law, including the Philippines Data Privacy Act of 2012 (Republic Act No. 10173), you may request access to, correction of, or deletion of personal information we hold about you. We may request reasonable verification before completing a request.

9. Children

KZ Unified Inbox is a business customer-support tool and is not designed to solicit personal information directly from children. A parent or guardian may contact us regarding information associated with a child.

10. Changes to this policy

We may update this Privacy Policy as our services, integrations, legal obligations, or data practices change. The effective date above will be updated when material changes are made.
